    Lesson 7: Build an Appointment Booking Superagent


    The Problem

    Lisa is a life coach. She loves coaching. What she doesn't love: scheduling.

    Every week, 15-20 emails arrive asking to book a call. "Does Thursday work?" "What about Friday afternoon?" "I prefer morning, but I'm flexible." "Wait, can we do next week instead?"

    Each one takes 5 minutes to handle. Back-and-forth. Checking your calendar. Proposing slots. Confirming. Sending a calendar invite. Five minutes times 15 emails equals 75 minutes per week spent just... scheduling.

    Then Lisa built an Appointment Booking Superagent. Now when someone asks to schedule a call, the Superagent handles the entire conversation. It checks her Google Calendar.     How to Build It: Step by Step

    Step 1: Go to Base44 and Create Your Superagent

    1. Go to base44.com
    2. Log into your account (or sign up free)
    3. Click the Superagents tab
    4. Click Create New Superagent
    5. You'll see a chat box. This is where you describe what you want.

    Step 2: Paste Your Creation Prompt

    Copy the prompt below. Paste it into the Base44 chat box. Customize the bracketed parts with your own details:

    Step 3: Connect Gmail (One Click)

    1. In the Base44 chat, type "Connect to my Gmail"
    2. Base44 prompts you to authorize Gmail (standard OAuth, just click approve)
    3. Your Superagent can now read scheduling requests in your inbox

    Alternative: If you prefer to handle scheduling through WhatsApp instead of email, say "Connect to my WhatsApp" instead. Clients text the Superagent to book.

    Step 4: Connect Google Calendar (One Click)

    1. Type "Connect to my Google Calendar"
    2. Base44 prompts you to authorize Google Calendar (one click)
    3. Done. Your Superagent can now see your availability and create bookings.

    This is the crucial part. The calendar connection lets the Superagent see exactly what times are open and what times are booked.

    Step 5: Set Your Availability Rules

    Go to the Brain section and fill in:

    Your working hours: "I'm available Monday-Friday, 10 AM to 6 PM Pacific time"

    Meeting types and lengths: "Discovery calls are 30 minutes, coaching sessions are 60 minutes, strategy sessions are 90 minutes"

    Max meetings per day: "I do maximum 4 coaching calls per day"

    Buffer time: "I need 15 minutes between calls to breathe and take notes"

    Blackout dates: "I'm on vacation July 5-12, don't offer those dates"

    The Superagent uses these rules to avoid double-bookings and respect your energy.

    Step 6: Optional: Add a Pre-Meeting Questionnaire

    If you want clients to fill out info before the call (their goals, their main challenges, their timezone), you can add this to the Brain. The Superagent will ask them to fill it out when they confirm the booking.

    Example: "Before we hop on the call, can you tell me: 1) What's your main goal for this coaching session? 2) What's been your biggest blocker? 3) What timezone are you in?"

    You get the answers before the call even starts. Saves time. Better coaching.

    Step 7: Test It

    Ask a friend to send you an email saying "Hey, I'd like to book a 30-minute call with you. I'm flexible." or text the Superagent on WhatsApp with the same request.

    Watch the Superagent offer 2-3 available slots. Let your friend pick one. Watch the calendar invite get sent. It should all happen in seconds.

    If something feels off (wrong times being offered, wrong timezone, missing a buffer), go back to the availability rules and refine them.

    Step 8: Handle Rescheduling and Cancellations

    Someone booked a call but now needs to move it. They send a message: "Can we reschedule from Thursday to Friday?"

    The Superagent handles this gracefully:

    • It accepts the cancellation
    • It checks Friday's availability
    • It offers new times
    • It updates your calendar
    • No double-booking, no confusion

    You don't do anything. It's handled.

    Step 9: Go Live

    Once you're confident the Superagent is offering the right times and handling bookings correctly, enable it. It now runs 24/7.

    A client can book a call with you at midnight, and it'll be on your calendar with a confirmed time by morning.
