The Problem Nobody Talks About
Here's a statistic that should scare you: most small businesses lose 60-70% of leads simply because no one follows up fast enough or consistently.
Think about it. A prospect emails your inquiry form on Thursday night, excited about working with you. You don't see it until Friday afternoon. By then, they've already checked out two other options. Or worse, they've forgotten about you entirely.
The businesses that win aren't always the ones with the best product. They're the ones who respond first and stay top of mind. Speed and consistency. That's it.
But here's the reality: manually following up is exhausting. You're busy. You forget. Or you get pulled into urgent fires and that warm lead gets buried in your inbox.
This is where a Lead Follow-Up Superagent changes everything.
What Your Superagent Will Actually Do
Imagine an employee who works 24/7, never forgets, and never gets tired.
Your Lead Follow-Up Superagent monitors your Gmail inbox. The moment a potential client reaches out, it springs into action:
- Immediate first touch (within 5 minutes): sends a warm, personalized response with your service overview, a specific insight from their inquiry, and a single clear CTA (book a call or reply)
- Smart follow-up (72 hours later, if no reply): a brief, friendly nudge that stays top of mind without being pushy
- Stops when it matters: the moment they reply, you take over. No more automated messages. You're in control.
The magic? This happens while you're sleeping, having coffee, or working with other clients.
Real World: Tom's Web Designer Story
Tom runs a freelance web design agency. A prospective client emails Thursday night at 11 PM: "Hi Tom, we're looking for a new website. Do you handle ecommerce redesigns?"
Tom doesn't see it until Friday at 10 AM. But his Superagent? It already replied at 11:15 PM Thursday:
"Hi there! Yes, ecommerce redesigns are exactly what we do. I saw you mentioned you're redesigning (I'm assuming for a new product line?). Here's a case study of a recent rebuild we did for a skin care brand. They went from 8 orders/day to 35 after the redesign. Would a 15-min call work this week? Here's my calendar: [link]"
Tom's competitor, who handles leads manually, doesn't get back to the prospect until Monday afternoon.
Guess who got the job? Tom. Not because his work is better, but because he was first and responsive.
That's the real superpower here.
Step-by-Step: Build It on Base44
You don't need any coding. Here's the exact process.
Step 1: Go to Base44 and Create a New Superagent
Go to base44.com. Click the Superagents tab. Click "Create new Superagent." You'll see a conversational chat interface.
Step 2: Paste the Setup Prompt Below
Copy and paste this entire prompt into the Base44 chat. Replace the brackets with your actual information. Base44 will ask you clarifying questions.
📋 COPY THIS PROMPT
I need a Lead Follow-Up Superagent for my [business type — e.g. web design / coaching / marketing agency].
Identity: You are [Your Name]'s sales assistant. Your name is [Agent Name]. You're warm, confident, and never pushy.
Your job: When a new inquiry comes in via Gmail, respond within 5 minutes. Your goal is to start a conversation and get them to book a call or reply.
Follow-up sequence:
- Email 1 (within 5 min of inquiry): Warm welcome, 3-4 sentences, end with a single CTA: book a call at [calendar link] or reply to share more
- Email 2 (72 hours later, only if no reply): Brief, friendly nudge — "Just checking in — still happy to chat if you're interested!"
- Stop after 2 emails. If they reply at any point, flag to me immediately and I take over.
Soul (how to behave):
- Always use their first name
- Keep every email under 5 sentences
- Never be pushy or salesy
- Mention one specific thing from their inquiry to show you read it (e.g. "Sounds like you're working on [X]")
- Tone: like a helpful, knowledgeable friend — not a corporate sales rep
Connect to: Gmail (required). Google Sheets (optional — to log each lead with date, name, email, and status).
I'll add my service description and calendar link to the Knowledge section.
Step 3: Answer Base44's Clarifying Questions
Base44 will ask you things like:
- "What's your service exactly?" (Be specific. Say "luxury wedding photography" not just "photography.")
- "What should your first email emphasize?" (Portfolio? Price range? Social proof?)
- "What's your calendar link?" (Paste the booking link. Calendly, Google Calendar link, whatever you use.)
- "Anything else I should know about your ideal client?" (Tell it about your audience.)
Answer each question directly.
Step 4: Authorize Gmail (One-Click OAuth)
When Base44 asks you to connect to Gmail, it'll show you a one-click authorization button. Click it. You'll be prompted to allow Base44 to read incoming emails (it won't send anything without your approval). Done.
Optional: You can also connect Google Sheets at this point to have Base44 automatically log each lead (name, email, date, status). This builds your CRM as you go.
Step 5: Go to the Brain Section and Add Your Service Details
Click the "Brain" tab in Base44. You'll see the Knowledge section. Here's what to paste:
Service Description: A 2-3 sentence overview of what you do.
Example:
We specialize in web redesigns for ecommerce brands, specifically those doing $50K-$1M/year in revenue. We focus on conversion rate optimization — our average client sees a 40% increase in add-to-cart rate and 25% increase in completed orders. Our process takes 8 weeks and costs $8K-$15K depending on scope.
Your Booking Link: Paste the URL to your calendar. Example: calendly.com/tom/discovery
Your FAQ (optional but helpful):
Q: What's your typical timeline?
A: 8 weeks from kickoff to launch. We can move faster if needed, but quality takes time.
Q: Do you handle the content or just design/code?
A: We handle all copywriting and product photography coordination. You just provide the raw materials.
Q: Can I see examples of your work?
A: Yes, check out our portfolio at [URL]. The ecommerce section shows 5 recent brand redesigns.
Step 6: Test It
Send yourself a test email with something like: "Hi Tom, we need a new website redesign. We're an organic snack brand and want to increase online sales."
Check the Gmail inbox. Within seconds, your Superagent should have drafted a response. Does it feel right? Does it match your voice? If not, go back to the Brain section and adjust.
Step 7: Activate
When you're happy, click "Activate" or "Go Live." Your Superagent is now monitoring your Gmail inbox. Every new inquiry will get an instant response.
