The Problem
Alex is a freelance consultant. Every week, she gets 80-100 emails. The work is all over the place: client projects, invoices, inquiries from potential clients, newsletters, automated alerts, feedback from current clients.
Before her Inbox Triage Superagent, Alex spent 90 minutes every morning just sorting email. Opening each one. Deciding: do I need to reply? Is this urgent? Can this wait? Should I even read this?
Those 90 minutes were her best, sharpest hours of the day. Gone. Eaten by email triage.
Then she built an Inbox Triage Superagent. Now, every morning at 8 AM, she gets a WhatsApp message with her entire inbox sorted into four buckets: URGENT (needs action today), REPLY NEEDED (not urgent but requires a response), FYI (good to know but no action), SKIP (newsletters, promos, noise).
Her mornings are back. She starts work sharp and focused. The Superagent also drafts replies to routine emails ("Thanks for reaching out, I'll review and get back to you") and waits for her thumbs-up before sending them. Result: her inbox went from a source of anxiety to a source of clarity.
What This Superagent Does
An Inbox Triage Superagent reads your Gmail inbox and does four things:
- Sorts incoming email into urgent, reply-needed, FYI, and skip buckets based on rules you set
- Sends you a daily summary via WhatsApp (or email) so you see the priorities at a glance
- Drafts replies to routine emails and asks your approval before sending (so nothing goes out without you)
- Works 24/7 so even emails arriving at midnight get sorted and ready for you when you wake up
The core idea: you get clarity without the time drain. Your morning email routine goes from 90 minutes of sorting to 10 minutes of decisions.
How to Build It: Step by Step
Step 1: Go to Base44 and Create Your Superagent
- Go to base44.com
- Log into your account (or sign up free)
- Click the Superagents tab
- Click Create New Superagent
- You'll see a chat box. This is where you describe what you want.
No forms. No dashboards to navigate. Just a conversation.
Step 2: Paste Your Creation Prompt
Copy the prompt below. Paste it into the Base44 chat box. Customize the bracketed parts with your own details:
📋 COPY THIS PROMPT
I need an Inbox Triage Superagent that manages my Gmail inbox.
Identity: You are my personal email assistant. Your name is [Agent Name]. You're efficient, calm, and make my inbox less stressful.
Your job: Monitor my Gmail. Every morning at [time, e.g. 8 AM], send me a WhatsApp (or email) summary of:
- URGENT: emails that need my attention today (max 5 bullet points)
- REPLY NEEDED: emails I should respond to but aren't urgent
- FYI: emails I should know about but don't need to act on
- SKIP: newsletters, promos, or anything I can ignore
Also: For emails that need simple, standard replies (e.g. "Thanks, I'll review and get back to you"), draft the reply and ask me: "Should I send this?" I approve with a thumbs up, you send it.
Soul (how to behave):
- Never send an email on my behalf without my explicit approval
- When in doubt, put it in URGENT rather than SKIP
- Keep summaries concise: one line per email
- If I get an email from [list important contacts, e.g. "my accountant, my main client"], always flag it as URGENT regardless of content
Connect to: Gmail (required). WhatsApp or Telegram (for daily summary delivery, pick one).
My email: [your email address]
Step 3: Connect Gmail (One Click)
- In the Base44 chat, type "Connect to my Gmail"
- Base44 prompts you to authorize Gmail (standard OAuth, just click approve)
- Done. Your Superagent can now read and process your emails.
Step 4: Connect WhatsApp for Daily Summaries
- Type "Connect WhatsApp for daily summaries"
- Authorize WhatsApp (same one-click process)
- Base44 asks for your phone number (to send you the daily summary)
From tomorrow morning, you'll get a message at 8 AM (or whatever time you set) with your inbox sorted.
Alternative: If you prefer email summaries instead of WhatsApp, just say so in the prompt and the Superagent sends summaries to your inbox instead.
Step 5: Add Rules to Your Superagent's Brain
The Superagent learns urgency rules from what you tell it. Go to the Brain section and add:
VIP contacts: List the email addresses of people whose messages should always be marked URGENT (your main client, your accountant, your boss, etc.).
Routing rules: For example:
- "Emails with 'invoice' or 'payment' in the subject: URGENT"
- "Emails from my team Slack notifications: SKIP"
- "Emails with 'feedback' from [Client Name]: URGENT"
- "Newsletters and promotional emails: SKIP"
You can be as detailed as you want. The Superagent uses these rules to sort automatically.
Common reply templates: If you send similar replies often ("Thanks for reaching out, I'll get back to you by Friday" or "Got it, thanks for the update"), add them to the Brain. The Superagent will use these as templates when drafting replies.
Step 6: Test the Daily Summary
After you set it up, you'll get your first morning summary at the time you specified. Open it. Does the sorting look right? Are the important emails being flagged as URGENT?
If not, go back to the Brain and refine your rules. For example, if client emails aren't being marked URGENT, you might add: "Any email from @clientcompany.com: URGENT."
Step 7: Monitor Drafted Replies
When the Superagent drafts a reply to a routine email, it sends you an approval message. You see the draft. You approve it (thumbs up) or edit it if needed. Only then does it send.
This is your safety net. Nothing goes out without you seeing it first.
Step 8: Go Live
Once the sorting feels right and you trust the reply drafting, you're done. Your Superagent runs 24/7 from here on.
What You'll Actually Save
Let's do the math:
- Before: 90 minutes every morning sorting 80-100 emails
- After: 10-15 minutes reviewing the pre-sorted summary and approving routine replies
Result: 60-90 minutes per day. That's 5-7.5 hours per week.
For Alex the consultant, that's an entire extra workday every week. She now uses those hours for actual consulting work (which is billable) instead of email triage (which is overhead).
